JD Align Pty Ltd (ABN 87 695 417 648) ("JD Align", "we", "our", "us") is committed to protecting personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, store, disclose, and protect personal information submitted by recruiters and candidates through the JD Align platform.
1A. Our Role
JD Align operates as a platform provider. Recruiters use JD Align to manage candidate applications. In most cases, recruiters determine the purposes for which candidate data is used. JD Align processes data on behalf of recruiters while also maintaining certain data for platform security, compliance, and service improvement.
2. Information We Collect
- Resumes and Candidate Data: Resume files uploaded for job applications are securely stored in Microsoft Azure (Australia East region).
- Extracted Job-Matching Data: Skills, experience, qualifications, and related structured information extracted from resumes and stored in Azure Cosmos DB to support search and matching.
- Recruiter Account Information: Name, company, email address, and related account details.
- Usage and Technical Data: Log and diagnostic data used to maintain system reliability and security.
3. Purpose of Collection
We collect and process personal information for the following purposes:
- Facilitating recruitment and job-matching activities.
- Analyzing resumes using automated AI tools to extract relevant job-related information.
- Providing recruiters with AI-supported screening insights.
- Maintaining platform security and service reliability.
- Complying with legal and regulatory obligations.
AI processing may involve secure cloud-based services integrated within Microsoft Azure infrastructure. Automated analysis assists screening decisions, but final hiring decisions are made by human recruiters.
4. Sensitive Information
JD Align does not require sensitive personal information (such as health data, religious beliefs, union membership, government identification numbers, or similar data) for recruitment screening.
If sensitive information is included in uploaded documents, it may be ignored, redacted, or securely deleted. Such information is not indexed for search or intentionally used in automated evaluation.
5. Data Storage and Security
Resume files and extracted data are stored in Microsoft Azure infrastructure located in Australia East.
Data is encrypted in transit and at rest. Access is restricted to authorized users and systems. We implement technical and organizational safeguards to protect against unauthorized access, misuse, disclosure, alteration, or destruction of personal information.
In the event of an eligible data breach, we will comply with the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth), including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.
Data storage and processing location
JD Align is hosted in Australia. Personal information and uploaded documents (including resumes) may be stored and processed in Australia and may be accessed by our service providers to operate and support the platform. If you access JD Align from outside Australia, you acknowledge that your information may be transferred to, stored, and processed in Australia.
6. Disclosure and Third-Party Processing
We do not sell personal information.
Personal information may be processed by trusted service providers including cloud hosting, AI processing, storage, analytics, and security services. These providers are bound by contractual obligations to protect personal information and may only process data according to our instructions.
Personal information may be disclosed where required by law, regulation, court order, or valid legal process.
Service availability and payments
Paid subscriptions and online payments are provided via Stripe. Availability of paid features may be limited to countries where Stripe supports payments and subscription billing. If Stripe does not support your country, you may be unable to purchase or renew a subscription through the platform.
7. Data Retention
Applications and associated documents are generally retained for up to 12 months unless deleted earlier by the recruiter or required to be retained for legal, regulatory, audit, or dispute resolution purposes.
Recruiters may delete candidate data through the JD Align dashboard. Upon account termination, personal information will be deleted or anonymized within a reasonable period unless retention is required by law.
8. Your Rights
Subject to applicable law, you may request:
- Access to personal information we hold about you.
- Correction of inaccurate or incomplete information.
- Deletion of personal information, where legally permitted.
- Withdrawal of consent to processing, where applicable.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC).
International users and privacy rights
Depending on where you are located, additional privacy laws may apply to you:

9. International Data Transfers
JD Align primarily hosts data in Microsoft Azure Australia East. Certain integrated services may involve secure cross-border processing. Where personal information is transferred overseas, we take reasonable steps to ensure appropriate safeguards consistent with the Australian Privacy Principles.

If you believe your personal information has been mishandled, please contact us in writing. We will acknowledge your complaint within a reasonable period and aim to resolve it promptly.
